Recently a school contacted me about calling a dance in their gym. After it was all set
up I received this message: One last thing I forget to ask you to send us a copy of your
certificate of Insurance naming Hitchcock for the March 26th dance. Most insurance
companies just email it to us.
This is the first such request I have received as caller hired by an institution. Any
suggestions on how to handle this request? Is this becoming common? Is this an
appropriate topic for this group? Thank you!

Tod,
I have had requests and have provided certificates of insurance, but it has
only happened 2-3 times in 25 years. I do not recall that I had to provide
the venue on the certificate.
If you carry insurance thru CDSS or Callerlab, they should be able to help
provide certificate.

Also true if you have insurance through the National Folk Organization. I've had
these requests every so often but by no means a majority of the time.

When I was organizing events, one municipality-owned site required $1M of "PL
PD," which is personal liability and property damage. Cities and other governments
have deep pockets; they want to be names as "additional insured" on the
certificate. Seems like the coverage was $40/year at the time.
CDSS used to offer caller insurance, membership required, and coverage was extra (through
Callerlab). Turn-time was not speedy. A couple of years ago the local dance society found
that the National Folk Assn coverage met venue requirements at a much lower price.
To find an insurer, just do a search on "special event insurance" and your
city/state or province. Your local or personal agent can write the policy. There are
underwriters for all kinds of activities and events (bungie jumps, beer festivals, Civil
War re-enactments) and an open, public contra dance is well within these confines. The
price is easily covered by a few people's admission fees.

not so surprising. In this case and most cases the participant is an independent
contractor, contracted by the school (producer) which would lead me to think the insurance
burden is on the school (producer). Times may be changing.
Name - I realized after posting that my name was not included, I assumed that it would be,
but I was wrong :)

When I was involved with Preschool Playgroups (in England) I took note of an article about
insurance.
The insurance company will only pay out for something that their client has done wrong
which has caused damage.
So e.g. if I (playgroup employee) had taken the Children on a float in a procession and
one had been hurt and sued I got the impression that the insurance companies involved for
the Playgroup, procession organiser and vehicle owner would have all tried to pass
responsibility on to each other. (And if you couldn't prove fault there would be no
compensation)
So I have insurance that covers me as a caller - up to other people to have their own.

A-ha. Maybe check with the client and gently advise. I've run into folks who are new
and trying to cover every jot and tittle, but accidentally reading the wrong page of the
IRS W-9 form instructions. Or worse.
For those considering this topic, it is very easy to find coverage. Once I saw a message
from a CW muster organizer stating that he was about to cancel the event. (It was a meet
& greet, no battle re-enactment, just a chance to dress up and march and drill,
followed by a dance.) He was not a power internet user, so I went surfing; found him
several (cheaper) carriers within an hour.

need to provide a certificate holding them and their client harmless.
After letting my fingers do the walking, I found the following:
CDSS: $65 membership, $50 for insurance, additional fee for each certificate
CallerLab: $105 membership (includes licenses for contemporary music), $25 for insurance
NFO: $30 membership, and insurance is included. (They don't make this clear on their

Here in UK EFDSS provides insurance free with membership (limited in amount and by size of
event, but enough) for activities they know about. So as long as you tell them you are a
caller / musician /club organiser whatever, they send you a certificate when you renew.

From what I learnt from another organisation's
magazine, insurance will only pay if the injured party can prove who was at fault.
So if the organiser did something wrong they will still be responsible, if you did
you might be sued even without insurance. (Maybe the organiser could too - for booking
someone without insurance.)
