Just a quick follow up to my budget question...
How many or you pay for sound vs have volunteers look after that part of
your event?
And if you pay, do you pay over 150$ or under?
We pay our sound guy over 150$ as he does an amazing job and looks after
all the details. And I doubt we'll change that.... he's just too good. :)
However, I'm interested in other models that folks use!

Our dance community is currently discussing this issue, as well.
We are a small dance (30-50) dancers. We store our equipment at the venue (grange).
We've had a volunteer set up sound. It has been suggested that we train and hire
someone for the task of setting up and managing sound.
I, too, am curious how other groups manage this.

Triangle Country Dancers (Durham/Carrboro/Chapel Hill, NC) pays sound folks
(who are also regular dancers) $40 for one venue (where there is much less
setup) and $60 at the other (where setup is significantly more involved).
Other groups that I have been associated with vary everywhere from totally
volunteer to paying sound folks a full share the same way a caller or
musician would be paid.

Sunday Nights at Glen Echo pay sound 9% of the take at the door (there's
also a minimum, I believe, but I don't remember what it is off the top of
my head, I think we regularly exceed it). It ends up being a range from
about $75 to as much as $300 for big name bands.

Our sound people volunteer. However, if they work for 9 saturdays,they get
the entire season for free. Those who pay substantially - is that for one
person? We have three people on sound per night.

Intro: I help run the NEFFA Thursday Night Dance at Scout House in
Concord MA, and I'm a NEFFA board member. We pay a damn good sound
engineer $50. He and I agree, that's a price point where we could take
it or leave it. It's a lot of work. I'm inexperienced, but
occasionally do sound myself.
Even taking the exchange rate into account, your prices seem high to me.
But if you're the only show in town, maybe your market can bear it.
Question -- not in your price structures are your cost structures.
Revenue coming in is only half of balancing books. Are you convinced
you cannot reduce costs? Maybe share your books with your hall owners
and ask for a lower price. Consider the possibility of other halls.
Maybe pay the band and caller less. But that's risky, because in our
world, people come for the callers and bands. And the good ones are
going to go where they get the highest pay.

To make sure it's apples to apples, things I've seen vary:
1) Does the sound guy also supply the equipment?
2) Is the sound guy "on" for the whole dance, or set things up then dance?

The Bay Area Country Dance Society (BACDS) sponsors a whole bunch of
dance series in the SF Bay Area, generally in San Jose, Palo Alto, San
Francisco, and Berkeley.
Our standard pay arrangement is that the band/caller/sound split 60% of
the door, with a full share for caller, three shares for the band, half
a share for the sound person. For contras, we have minimum payments.
Our English dances don't usually have a sound person. Our door prices
are $7 (organization members), $9 (non-members), $5 (student/low-income)
or what-you-can on weeknights, $8/10/5 or what-you-can on weekends,
going up to $10/$12/$6 for big-name traveling talent (with whom we may
also negotiate an adjustment of the split).
So the sound person has a guarantee of $25 and may well make more than
that at a well-attended dance. At some of our dances people on the
committee do sound and don't take money. Each of those dances has
equipment that lives on sight. The organization pays for replacements
and upgrades, but in many case the equipment was originally donated by
the organizer of the series.
It's a different story when we have annual balls or dance camps at halls
we don't ordinarily use, and we typically hire someone who has their own
equipment. That's more money.

Monadnock Folklore Society is lucky enough to get decent sound people who
work for free. MFS has its own sound system. We regularly train young
people in the basics of sound reinforcement.

When I was on the BIDA board (Cambridge MA) we payed $75 for someone
to bring their own equipment and run sound. These were almost always
board members.
Around when I left we were working on buying a system to keep at the
hall. How much to pay the sound engineer after that was undecided.

In St Louis - we have about 10 events a year and about 4 sound techs.
We have all of our own equipment stored on site - the techs sometimes augment with
something of their own that they prefer.
All are dancers
One is on duty each night - but the others and some dancers help with the set up and tear
down.
The on duty tech is the first to arrive at the hall and last to leave - so it is a long
evening
They can dance most of the evening
We pay $40 for the on duty tech
Any others get in free at all events (they end up working some)
We also allow them to rent the sound equipment for other gigs when we don't need it
for $25 a day.
All things considered - we are getting a lot for $40 - but then we consider what we pay
the bands and callers to be less than what they are worth too. We feel very fortunate to
have a lot of generous, talented folks available to us.
